Our Privacy Policy

Last updated: 20 October 2026

This policy explains what personal information Invincible Brands collects, why, what we do with it, how long we keep it and the rights you have. We’ve written it in plain English. If anything isn’t clear, just ask.

Who we are

Invincible Brands Ltd is a brand, web and marketing agency. We’re registered in England and Wales, company number 13721722. Our trading address is Main Street, Ponteland, Newcastle upon Tyne NE20 9NH.

We’re the controller of the personal information described in this policy. We pay the data protection fee to the Information Commissioner’s Office (ICO).

For anything about your personal information, contact Dan Newton, Managing Director:

Who this policy covers

  • People who visit our website
  • People who get in touch with us or book a call
  • Newsletter subscribers
  • Our clients and the people we deal with at their businesses
  • People at businesses we contact about our services
  • Our suppliers

What we collect, why, and our lawful basis

When you get in touch or book a call

We collect your name, email address, phone number, business name and whatever you tell us, through our contact form, email, phone, social media or our online booking calendar. We use it to reply, arrange calls and prepare quotes.

Lawful basis: taking steps you’ve asked for before a contract, or our legitimate interest in responding to enquiries.

When you’re a client

We keep contact details, project information, the content and files you send us, correspondence, invoices and payment records. We use them to deliver the work, look after your website or marketing, bill you and keep proper accounts.

Lawful basis: performing our contract with you, and our legal obligations (for example, keeping accounting records for HMRC).

Our newsletter

If you sign up, we keep your email address, your name if you give it, and whether you open or click our emails. We use an email marketing service to send it.

Lawful basis: your consent. Every email has an unsubscribe link, and you can unsubscribe at any time.

Contacting businesses about our services

We research businesses we think could benefit from our work and get in touch with them. For this we collect a contact’s name, job title, business email address and business phone number, along with information about the business, its website and its online presence.

We get this information from public sources: the business’s own website, Companies House, LinkedIn, business directories and the business’s social media pages.

Lawful basis: our legitimate interest in promoting our services to businesses. We follow the Privacy and Electronic Communications Regulations when we email or phone.

If you’d rather not hear from us, tell us and we’ll stop straight away. We keep a short do-not-contact record (your name, business and contact details) so we don’t get in touch again.

Call recordings and transcripts

We may record and transcribe phone calls and video meetings so that we have an accurate note of what was said and can follow up properly. We use a transcription service to turn calls into text and notes. Recordings and transcripts are kept private to us and aren’t shared outside the business, apart from the service providers listed below.

Lawful basis: our legitimate interest in keeping accurate records of business conversations.

If you’d rather not be recorded, tell us at the start of the call and we won’t record it. You can also ask us to delete a recording or transcript at any time.

How we use AI tools

We use AI tools to help summarise calls and notes, keep our records up to date and draft emails. A person reviews and sends every message we send you. We don’t make decisions about you by purely automated means that have legal or similarly significant effects.

Our website

When you visit our website, our systems record technical information such as your IP address, browser and device type, the pages you visit and the site you came from. We use it to keep the site secure (including spam and attack protection), working properly and fast.

Lawful basis: our legitimate interest in running a secure, working website.

If you comment on a blog post, we keep your name, email address and comment. Comments are checked for spam by an automated service.

Cookies and similar technologies

Our website uses:

  • Essential cookies that make the site work and keep it secure.
  • Analytics (Google Analytics) to understand how people use the site, so we can improve it.
  • Advertising and measurement tags from Google Ads, Meta (Facebook) and LinkedIn, so we can measure our adverts and show relevant adverts to people who’ve visited our site.

Analytics and advertising cookies need your consent under UK law, which we ask for when you first visit. You can change your choice at any time using the Manage consent tab on the site, see the details in our cookie policy, or refuse and delete cookies through your browser settings. Google, Meta and LinkedIn also let you control advertising in your account settings with them, and Google provides a browser add-on to opt out of Google Analytics.

Our suppliers

We keep contact and billing details for the people we buy from, to manage orders and pay invoices.

Lawful basis: performing our contract, and our legal obligations.

Websites we look after for clients

Where we build, host or maintain a website for a client, any personal information about that website’s visitors is processed on our client’s behalf and under their instructions. Our client’s own privacy policy applies to it.

Who we share your information with

We never sell your personal information. We share it only with the service providers that help us run the business, under contracts that require them to protect it and use it only for us. These include:

  • email, calendar and file storage providers
  • website hosting, security and performance services
  • website analytics and advertising platforms
  • our email marketing service
  • our online booking calendar
  • video call and call transcription services
  • AI tool providers
  • accounting and invoicing software
  • social media platforms we use to message and advertise

We may also share information with our accountant and professional advisers, or where the law requires us to, for example with HMRC.

Transfers outside the UK

Some of our service providers store or access information outside the UK, mainly in the United States. Where that happens, the transfer is protected by UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework, where the provider is certified) or by the UK International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses.

How long we keep it

  • Businesses we’ve contacted that don’t take things further: deleted 12 months after our last contact.
  • Enquiries that don’t become work: deleted 12 months after our last contact.
  • Call recordings and transcripts: up to 12 months after our last contact, unless they relate to work for a client, in which case we keep them with the client’s records.
  • Client records: for as long as we work together, then 6 years for tax, accounting and legal reasons.
  • Newsletter: until you unsubscribe. After that we keep your email address on a suppression list so you aren’t added again by mistake.
  • Do-not-contact record: for as long as we need it to respect your request.
  • Website analytics: no more than 14 months.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct anything that’s wrong or incomplete
  • ask us to delete your information
  • ask us to limit how we use it
  • object to us using it on the basis of our legitimate interests
  • object to direct marketing at any time (we’ll always stop)
  • ask us to transfer information you gave us to you or another organisation
  • withdraw your consent at any time, where we rely on it

To use any of these rights, contact Dan using the details above. It’s free, and we’ll respond within one month. We may need to check who you are first.

Complaints

If you’re unhappy with how we’ve handled your personal information, please tell us first, by email, phone, post or any other way that suits you. We’ll acknowledge your complaint within 30 days, look into it, keep you updated and tell you the outcome.

You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

Keeping your information safe

We use reputable providers, protect our accounts with strong passwords and limit access to the people who need it. Our website runs over a secure connection and is protected by a firewall.

Children

Our services are for businesses. We don’t knowingly collect information about children.

Changes to this policy

We’ll update this policy when the way we use personal information changes. The date at the top shows when it was last updated.
